Working With Tasks

Learn how to work with workflows: how to filter them, what to do with them, filter workflows by template and stage, view them, choose one, return it to a previous stage, make a clone, show how to run a shared workflow.

Key points covered in the video:

  • Viewing tasks: My Tasks displays a list of all assigned tasks in chronological order, with overdue and urgent tasks at the top.
  • Filtering tasks: Tasks can be filtered by workflow type and step to focus on specific tasks within a process.
  • Task information: Each task has a title and description, providing details on what needs to be done and any additional data required.
  • Completing tasks: Completing a task moves the underlying process to the next step; some tasks have output fields that need to be filled out.
  • Activity log: Beneath each task is the activity log of the workflow, showing completed steps, team comments, and allowing users to leave their own comments.
  • Rich text editing: Comments support rich text editing, embedded videos, images, and file attachments.
  • Adding performers: Users can add new performers to tasks on the fly if they need help.
  • Task actions: Tasks can be completed, the underlying workflow can be ended(if the complete at any step option is enabled in the workflow template), or the workflow can be returned to the previous step, depending on the situation.
  • Automatic task assignment: Pneumatic handles task assignment automatically in the background, ensuring a smooth handover of the process to the right people as tasks are completed.
